A growing orthodontic group needed every one of its brands to present treatment plans the same way, priced correctly for each region and payer. We built a case presentation module that made the money conversation consistent across the group, without adding systems for them to run.

The moment a case is won or lost

An orthodontic case is decided in about ten minutes, when a coordinator sits with a family and turns a diagnosis into a price. Across a group, that conversation was happening differently in every office. Fees varied by region, allowables by payer, discounts by brand, and coordinators were assembling it all by hand while the patient watched. Acceptance rates looked like a personal talent because nothing about the process was consistent enough to compare.

We built the module so nobody types a price. The coordinator enters the treatment, the estimated months and the payer; the plan resolves against the patient's own region and brand and comes back as a total, a payer portion and a patient share. The patient sees it under their practice's own logo, with a payment structure already built the way an experienced coordinator would build it: a sensible initial payment and a term that clears the balance before treatment ends. Both stay adjustable while they talk.

What we delivered

A pricing engine driven by the client's own fee, payer and discount data; a branded patient view with live payment building; dashboards that let regional leaders see only their regions and head office see all of them; a direct handoff into intake forms and eSignature; and an onboarding guide that lets the client's own staff add new brands without calling us.

The client operates orthodontic brands across several regions, each with their own fee schedules, payers and discounts. Every one of those variations had to arrive correctly in a room with a nervous family and a ten-minute window. Head office needed to see the results, and nothing could add to the systems the practices already managed.

We treated the coordinator's conversation as the product. The business rules that experienced coordinators carry in their heads became defaults every office starts from: the region's own down payment, a term that ends before treatment does. Fees and payers became data the client edits, because prices change more often than software should.

The module runs inside the Microsoft 365 tenant the client already owns. SharePoint lists hold the configuration their IT team already administers, and Entra ID security groups decide who sees which regions. Once a plan is accepted, the intake and consent forms are signed through BoldSign under each brand's own identity, and the signed documents land back on the practice dashboard. No new platform to host, patch or pay for.

We wrote brand onboarding as a guide a practice manager follows: create the brand, load logo, colors and fees, switch it on. When coordinators told us the opening payment numbers felt wrong in front of patients, the fix was a rule change that reached every brand at once, not a rebuild.
